What is proofreading? ¶
If you are still moving paragraphs around, wait. Proofread once, at the very end.
Proofreading is the final check of a finished document for surface errors: spelling, grammar, punctuation, typing slips and inconsistencies in formatting, numbers and references. A proofreader does not restructure your argument or rewrite your sentences. The goal is a clean, correct text that reads exactly as you intended.
Because proofreading comes last, it assumes the content, structure and style are already settled. If your draft still needs smoother paragraphs or a clearer argument, our academic editing service is the better fit. Our guide to copy editing vs. proofreading explains the difference in detail.
| Service | Focus | Best stage |
|---|---|---|
| Proofreading | Surface errors and consistency | Final draft, content settled |
| Academic editing | Clarity, flow, academic style | Complete draft that needs polish |
| English editing | Natural, idiomatic English | Authors writing in a second language |
What our proofreaders check ¶
Your proofreader works through the whole document line by line. A typical pass covers:
- Spelling and typos, including homophones a spellchecker misses (affect/effect, principal/principle, its/it's).
- Grammar: subject–verb agreement, verb tense, pronoun reference and sentence fragments.
- Punctuation: commas, semicolons, hyphens and en dashes, quotation marks and apostrophes.
- Consistency: American or British spelling, capitalization of key terms, abbreviations defined once and then used the same way.
- Numbers and statistics: numerals versus words, decimal places, spacing in expressions such as p < .05.
- Citations: every in-text citation has a matching reference entry, and names and years agree.
- Cross-references: table and figure numbers, section references and page numbers in the table of contents.
Proofreading leaves your wording alone unless something is wrong. Where a sentence is unclear, your proofreader adds a short comment instead of rewriting it.

Is your paper ready for proofreading? ¶
Proofreading pays off when the draft is complete. Before you send it, check that:
- Your supervisor or co-authors have signed off on the content.
- All sections, tables, figures and appendices are in place.
- Your reference list is finished, even if its formatting still needs work.
- You know which style guide applies (APA 7, MLA, Chicago, Harvard, AMA or another).
If you can tick all four, a proofread is the right service. If you expect more rounds of revision, an edit now and a proofread at the end often saves time. For a full thesis or dissertation, where consistency across chapters and university formatting matter, see dissertation and thesis editing.
How our proofreading service works ¶
- Send your file. Upload a Word document through the quote form and tell us your deadline, word count and style guide.
- We match a proofreader to your field. A psychology paper goes to someone who knows APA conventions; a chemistry report goes to someone who knows SI units.
- Your proofreader reads the full text. Corrections appear in Track Changes, with margin comments wherever a change needs a reason or a decision is yours.
- You review and accept. In Word, open the Review tab to accept or reject each change individually.
- Ask follow-up questions. If a comment is unclear, reply and your proofreader will explain.
Professional proofreading matched to your field ¶
Proofreading looks simple, but academic texts have conventions that a general proofreader can mistake for errors. Your proofreader is matched to your field, so they know which conventions to leave alone and which slips to catch.
- Sciences and medicine: SI units and spacing (5 mg, 37 °C), gene and species names in italics, consistent abbreviations for compounds and procedures.
- Social sciences: APA 7 statistical notation, italicized symbols such as M, SD and t, and bias-free language for participant groups.
- Humanities: quotations checked against your transcription conventions, foreign terms in italics, and footnote numbering in Chicago style.
- Business and economics: currency formats, consistent decimal places in tables and correctly labeled variables.
Where something might be intentional, such as an unusual spelling in a quoted source, your proofreader adds a query and leaves the final call to you.
Proofreading for essays, papers and reports ¶
We proofread most kinds of academic writing: course essays, research papers, conference abstracts, grant applications, posters and reports. If you are searching for someone to proofread your paper or essay before submission, this is the service to choose.
We work in the style guide you name. Tell us whether you need American or British spelling, and send any departmental or journal guidelines you have. Proofreading covers obvious formatting slips, while a complete reformat of headings, tables and references to APA 7 is a separate APA formatting service.
Writing for a journal? A manuscript edit checks your paper against the target journal's author guidelines as well as the language.
Turnaround and academic integrity ¶
Turnaround options run from 24 hours to 7 days, depending on the length of your document. Shorter texts can be returned faster. See pricing for the options available for your word count.
Your file is handled confidentially. An NDA is available on request, and we delete your files when you ask us to. You keep full authorship: your proofreader corrects errors and explains changes but never adds content.
Many universities allow proofreading but set limits on what a proofreader may change, particularly for assessed work. Please check your institution's rules before you order. Our academic integrity policy explains how we work within them.
