What our APA formatting help covers

Most reference lists we see have the same three problems: missing DOIs, sentence-case slips and citations with no matching entry.

APA formatting help is a focused edit that applies the Publication Manual of the American Psychological Association (7th ed.) to a finished draft. Your editor corrects in-text citations, the reference list, headings, tables, figures, the title page and number formatting, and leaves your argument and wording as you wrote them.

It sits between two neighboring services. Academic proofreading fixes grammar, spelling and punctuation. Formatting deals with the conventions of a style guide. Many clients book both together for a final submission, and we can combine them in one pass.

  • In-text citations: author names, dates, "et al.", ampersands, page numbers for quotations
  • Reference list: order, hanging indent, capitalization, italics, DOIs and URLs
  • Headings: APA levels 1 to 5 applied consistently
  • Tables and figures: numbering, titles, notes and in-text callouts
  • Title page: student or professional version
  • Numbers and statistics: italicized symbols, spacing and decimal places

APA citation help: what your editor checks

Citation errors are the most common reason markers and journal staff return a paper for formatting. Your editor works through the document with a checklist built on APA 7 rules.

ElementWhat we check
Citation and reference matchEvery in-text citation has a reference entry, every entry is cited, and spellings and years agree
Parenthetical and narrative citations"&" inside parentheses, "and" in running text, "et al." for three or more authors
Reference list layoutAlphabetical order, 0.5-inch hanging indent, double spacing, up to 20 authors listed
TitlesSentence case for article and book titles, title case and italics for journal names and volume numbers
HeadingsLevel 1 centered and bold, Level 2 flush left and bold, Level 3 bold italic, and so on
Tables and figuresBold number, italic title in title case, notes below, each one mentioned in the text

For a refresher on the rules themselves, our guides to APA in-text citations and APA table format walk through each one with examples.

Help with APA referencing: a worked example

A frequent request is "help me cite a website". Citation generators often pull the wrong date, miss the author or copy the page title in title case. Here is the kind of correction you will see in your file.

Before

Urban Futures Review. Ramirez, Lucia. How Coastal Cities Plan For Flooding. 2024. Accessed March 3, 2025. www.urbanfuturesreview.org/coastal-flooding

APA 7 reference

Ramirez, L. (2024, February 6). How coastal cities plan for flooding. Urban Futures Review. https://www.urbanfuturesreview.org/coastal-flooding

The margin comment explains each fix: author initials only, the full publication date in parentheses, an italic title in sentence case, the site name, and a complete URL. APA 7 drops the retrieval date unless the page is designed to change over time.

Chicago, Harvard, MLA, Vancouver and IEEE

APA is our most requested style, and our editors work just as closely with the others. Tell us the edition and any departmental variant, and send the style sheet if your school has one.

StyleTypical fieldsHow citations look
Chicago (17th)History, arts, some social sciencesFootnotes with a bibliography, or author-date
HarvardBusiness, UK and Australian universitiesAuthor-date; details vary by institution
MLA (9th)Literature, languages, humanitiesAuthor and page number; Works Cited list
VancouverMedicine, nursing, health sciencesNumbers in order of first citation
IEEEEngineering, computingBracketed numbers such as [1]

If you need help with MLA citations or a journal's house style, we follow that guide in place of APA.

How the formatting service works

  1. Send your file and requirements. Upload your Word document, the style and edition, and any university template or journal instructions through the quote form.
  2. Get matched. An editor who knows your field and style reviews the file and confirms scope and turnaround.
  3. Formatting pass. Your editor corrects citations, references, headings, tables and layout with Track Changes on, adding margin comments that explain the reasoning.
  4. Review and accept. You accept or reject each change, so you stay in control of the final document.
  5. Ask follow-up questions. If a comment is unclear, you can ask your editor about it after delivery.

Turnaround runs from 24 hours to 7 days depending on length. Details are on the pricing page.

Dissertation and thesis formatting to your university's template

Graduate schools often layer their own rules on top of APA: specific margins, a required order of front matter, roman numerals for preliminary pages, and a table of contents generated from Word heading styles. Our thesis formatting service applies those requirements alongside APA 7, including lists of tables and figures, appendix labels and consistent captions.

For a full read of language and clarity as well, see dissertation editing, which can include a formatting check. The APA title page guide shows the student and professional versions if you want to set that page up yourself first.

Formatting help and academic integrity

If your rules require you to declare editing help, our margin comments make it easy to show exactly what changed.

Formatting changes how your sources are presented. It does not change what you argue or which sources you used. Your editor will not add sources, write content or supply citations for claims you have not sourced. Where a citation seems to be missing, we flag it in a comment so you can add it from your own reading.

Most universities allow formatting and proofreading help, but rules differ by institution and assignment. Please check your program's policy before you send your work, and read our academic integrity policy for how we work. Files are handled confidentially, an NDA is available on request, and we delete files when you ask.

FAQ

Questions about apa & citation formatting

Is there free citation help?

Yes. The official APA Style website, university writing centers and reference managers such as Zotero all offer free citation help, and they are worth using. Generators make predictable mistakes, though, such as title-case article titles, missing DOIs and wrong dates. Our editors check and correct that output, explain each fix and confirm every citation matches an entry in your reference list.

What is APA editing?

APA editing means checking a document against the APA Publication Manual, 7th edition. It covers in-text citations, references, headings, tables, figures, the title page and the presentation of numbers and statistics. It does not rewrite your content. Many clients pair it with proofreading so grammar and formatting are handled together.

Can you help me cite in MLA or Chicago?

Yes. We format in MLA 9, Chicago 17 (notes-bibliography or author-date), Harvard, Vancouver, IEEE and journal house styles. Tell us the edition and send any departmental style sheet, because Harvard in particular varies between universities. Your editor follows that guide and notes any place where your source details are incomplete.

How much do APA editing services cost?

The cost depends on word count, the number of references, whether you want proofreading included, and turnaround. You can see how pricing works on our pricing page or send your file through the quote form for an exact figure before you commit.

Can you fix references I made with a citation generator?

Yes, and this is a common request. Send the document with the reference list in place. Your editor corrects each entry, checks it against the in-text citations, and adds a comment wherever a detail such as a DOI, issue number or publication date is missing and needs to come from the original source.

Do you format dissertations to my university's guidelines?

Yes. Send your graduate school's formatting manual or template with the file. We apply its margin, pagination, front matter and caption rules alongside APA or your required style. Please check your institution's policy on editing help first; our academic integrity page explains what we do and do not do.
